MyCallsAI provides AI voice agents that answer, route, and book appointments for modern teams. This policy explains how we handle personal information when you visit our website, use our product, or interact with our agents by phone or SMS.

What this policy covers

This policy applies to: (a) visitors to mycallsai.com; (b) account owners and teammates who use our dashboard or API; and (c) callers who interact with an agent powered by MyCallsAI on our customers' phone numbers.

Data we collect

Account & billing

Name, email, company, phone, and payment details (processed by our PCI-compliant payment partner).

Call audio & transcripts

When calls are handled by an agent, we process audio in real-time. If enabled by our customer, we store call recordings and transcripts for quality, compliance, and analytics.

Knowledge sources

Content you connect for on-brand answers (website/docs URLs, PDFs, FAQs) and the derived embeddings/indices.

Integrations

Google Calendar Integration When you connect your Google Calendar, we access your calendar events solely to check availability and create, modify, or delete appointments booked through your AI agent. We request only the minimum necessary scopes (calendar.events and calendarlist.readonly). We do not access, store, or share your Google Calendar data for any purpose other than appointment management. You can disconnect Google Calendar at any time from your portal settings, which immediately revokes our access.

Support & communications

Messages you send us (email, forms), plus operational messages like booking confirmations.

Device & usage

Log data, approximate location (via IP), and product analytics to improve reliability and UX.

How we use data

Provide the service

Route calls, answer questions, and book appointments.

Improve quality

Troubleshoot, monitor accuracy/latency, and train non-identifiable models.

Security & abuse prevention

Detect fraud and protect accounts.

Honor DNC requests, retention requirements, and audit obligations.

How we share data

We do not sell personal data.

We share data only with service providers to deliver our services, including:

  • Telephony & messaging (e.g., Twilio or compatible carrier)
  • AI inference & speech services (real-time voice and transcription)
  • Cloud hosting and storage
  • Payments, analytics, crash/error monitoring

We also share data to meet compliance and law enforcement obligations when required by law. In the event of a merger or acquisition, we will ensure appropriate safeguards are in place.

Data retention

We retain personal data only as long as necessary for the purposes above or as required by law or contract. Customers can configure retention for recordings and transcripts. Data is deleted or anonymized at the end of the retention window or when an account is closed.

Security

We apply layered security: encrypted transport, encryption at rest for stored artifacts, role-based access controls, redaction options, and monitoring. No method is 100% secure, but we continually improve our safeguards.

International transfers

We may process data in the U.S. and other countries. Where required, we use appropriate transfer mechanisms (e.g., Standard Contractual Clauses) and supplementary measures to protect your data.
